Purchasing Orders Administrator

Summary

Actively assists the orders manager with processing and submitting customer orders. 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Process customer purchase orders through company’s ERP system (Trulinx).
  • Gain an understanding of how a customer’s purchase order is structured and make sure that the information matches with what is in Trulinx. If there is a conflict, follow up to resolve it.
  •  Work with inside/outside sales personnel and enter the orders that they receive.
  •  Learn how to run the daily buy job/jobs and process the purchase orders for stock or sales orders.     Learn to determine whether something needs to be bought by using the tools in Trulinx.
  •  Confirm all pricing when entering orders and notify sales or the customer when there are conflicts.
  • Submit all purchase orders to the vendors and follow up to insure accuracy in pricing and delivery.
  • Must have the initiative to follow up with the customer or vendors to work out inconsistencies in a professional manner through email or phone.
  • Keep up on the deliveries within your orders and be able to answer questions on expediting.
  • Learn to work with Excel bill of material spreadsheets that are provided by the application and engineering departments.

Goals for the Orders Administrator 

  • Work effectively and maintain open communication with co-workers especially when learning new processes.
  • Accurately process and enter new sales orders as well as the ability to add items to existing work orders.
  • Develop competency in entering basic orders while moving towards more complex orders. Ultimately driving toward entering fabrication orders using Excel bill of material spreadsheets that are provided by the application and engineering departments.
  • Ability to work independently while at the same time knowing when to ask for help.

Qualifications:

  • Two or four year degree, or equivalent work experience
  • Ability to work as a team
  • Knowledge of a manufacturing environment. 
  • Proficient with Microsoft office and Adobe Acrobat products.  Other computer software will be used and training will be provided.
  • Ability to logically problem solve
